Creating a Purchase Intent (Reservations)

Introduction

In most cases, Purchase Intents can be considered equivalent to a reservation.

Through Purchase Intents, reservations can be created both individually and in bulk directly within your dashboard. Additionally, events can be configured to allow customers to reserve tickets without making an immediate purchase.

Purchase Intents are combined with Purchase Intent Strategies, which define the parameters under which payment is required. Once the

Differences using a Purchase Intent vs Internal Booking

  • Both create a reservation that can be completed online via a payment link.
  • Purchase Intents support additional rules such as expiration dates and approavals, whereas Internal Bookings will not.
  • An internal booking creates the transaction immediately, whereas a purchase intent only generates a transaction once checkout is initiated via a payment link or POS sale.
  • Internal bookings can support ticket reservations across multiple events (when multi-cart checkout is enabled), whereas a purchase intent can only be created for a single event.

  2. Create/Issue a Purchase Intent for a Customer

The Purchase Intent WORKFLOW is as follows;

  1. Creation of Purchase Intent
  2. An Email is sent to the customer with a link to pay for the selected tickets and a reservation confirmation for payment at the Point of Sale (POS).
  3. Payment is made via the link provided or at the POS
  4. Receipt of valid tickets upon successful completion of the Purchase Intent.

STEP 1 - CREATE A PURCHASE INTENT STRATEGY

  1. To create a new Purchase Intent strategy or manage an existing one, go to the Purchase Intents module and select Strategies. Then, click Create for a new strategy, or click on an existing strategy and select Edit in the upper right corner to modify it.

Note: Purchase Intent strategies cannot be deleted but can be modified, renamed, and adjusted at any time.

Name The name of the strategy is visable only internally on the dashboard for recognition and use. Your customers cannot see the name. Tip: Use a name that reflects the settings (e.g. 30 Days prior to Event Start, or 48 Hours after Creation)
Approval Required If you activate this function, every Purchase Intent created internally or online must be actively confirmed by you before the customer can complete it. Confirmation takes place in the dashboard under Purchase Intents
Create Tickets If you activate this function, a ticket with the status 'reserved' is generated directly in the dashboard when creating the purchase intent. The ticket status changes to 'valid' once the Purchase Intent is completed, or to invalid if it is cancelled.
Check Availability If you activate this function, the capacity of the respective event or tickets is checked when creating a Purchase Intent. If you deaactivate the function, the capacity is not checked, which could result in overbooking the event with pending Purchase Intents
Expiration Date Specify how long a Purchase Intent should be active. After the specified period, the Purchase Intent is automatically canceled, and all associated tickets and seats are released. If you specify multiple expiration periods , the earliest date always applies.
Create Valid Tickets If you activate this function, tickets within the status 'valid' or 'details required' are created directly after the creation of the Purchase Intent, rather than status 'Reserved'. This makes tickets immediatley available to the customer and you, without the need to be released by completing payment.
Without Seat If you activate this function, no seat needs to be selected when creating the Purchase Intent. The Corresponding seat is assigned when completed at the point of sale (POS). This function should not be used for pure onine Purchase Intents.

STEP 2 - CREATE A PURCHASE INTENT FOR A CUSTOMER

Within the dashboard, you have the capability to generate an individual Purchase Intent for a customer, facilitating an instant reservation that can be optionally forwarded to the customer. To initiate this process, go to the Purchase Intents module. Select the Create Intent option, which will open a form for creating the Purchase Intent. Alternatively, you can reach this page through the Transactions and Internal Booking module by choosing the Purchase Intent tab to access the relevant options.

  1. Click on the Purchase Intents tab.
  2. Select the Create Intent button.
  3. Choose the exsisting customer or click + Add Customer to enter details for whom you want to create the reservation. Only one customer can be selected at a time.
  4. Choose the event for which the tickets should be generated. Only one event can be selected at a time.
  5. Optionally select a coupon for discount purposes on the reservation.
  6. Choose the tickets you wish to send.

Important Steps

  1. Ensure Send Confirmation is toggled ON, in order for the reservation confirmation to be sent to customer via email.
  2. Select the correct Purchase Intent strategy you want to use. If you choose System Default, the strategy defined in the event settings will be applied.
  3. Carefully Review your ticket selection and click on Create.

How can I montitor or review Purchase Intents?

A record of all New, Completed and Cancelled Purchase Intents can be viewed by clicking the Purchase Intents module from the account menu.

Using the filters you can refine your search using granular data points, these filters can then be saved and optionally shared with your team.


Managing Purchase Intents

By opening your respective purchase intent, you have full visability of;

  • Customer Details
  • Purchase Intent Expiry: Click Edit to manually override the existing expiry date (e.g. if an extension is required, or if the expiry date needs to be brought forward).
  • Order details including selected seats (if applicable)
  • History or additional comments: Click Add Comment to add additional notes as required
  • More Actions: provides the ability to further manage actions including
    • Confirmation page: allows you to view the customers online payment link
    • Cancel: allows you to cancel the purchase intent on behalf of the customer
    • Reservation QR Code: produces the QR code to be scanned at the Point of Sale/Box Office to complete onsite
    • Resend email: allows you to resend the tickets / reservation email to the original email address which will appear by default, and/or add or update with a new email address.
